WHEN NOT TO BUILD
If a build is not warranted, we say so
Not every request is worth building. In the situations below we will suggest holding off, or handling it a less expensive way, and explain why.
- If an off-the-shelf tool is enough, we will tell you to use it
- If the work has no strong industry-specific character and you have not yet hit the limits of packaged software, an off-the-shelf tool is usually the better value.
- Adding a function does not mean rebuilding everything
- An existing system can be connected as long as it offers an API or can export data. Even a completely closed system can be linked through file exchange or scheduled exports.
- No quote before the scope is settled
- We interview first, agree the function list, and only then quote — no fixed packages. After the interview we say plainly which parts are worth building and which are not.

How does a custom system differ from packaged software?
It comes down to which side adapts. Packaged software asks your process to fit its existing functions; a custom system is built around the process you already run. Packaged software is quick to start and cheap up front, but the flexibility is limited, the data sits in someone else's cloud, and most vendors keep charging by headcount or usage. A custom system is built once and used for years, grows with the business, and both the system and the data are your assets. If the work is specific to your industry, or you have already hit the limits of packaged software, building your own is usually the better value.
How long does a custom system take to build?
Most projects run three to six months, from the requirements interview to going live. A smaller booking or form system takes about one to two months; an ERP or commission settlement system spanning several departments and several integrations takes longer. Our approach is to launch the most critical piece first so the benefit shows early, then add the rest in phases.
How is the cost estimated?
We estimate from the scope of functions and the development hours involved. We interview first, agree the function list, and only then quote — no fixed packages. The main cost drivers are how many functions there are, how many external systems need integrating, and whether a separate mobile version is required. By comparison, the long-term subscription fees typical of packaged software keep adding up year after year, while a custom build is paid for once and followed only by maintenance. The actual quote is set after the requirements interview.
How does maintenance work after launch?
The system comes with a warranty period, and program faults found within it are fixed at no extra charge. After that, maintenance can run on an annual contract or per incident, agreed according to the size of the system. The same team handles consulting, design, development and maintenance without handover, so changes and extensions do not start with someone relearning the structure, and there is less to explain each time.
