How to Install a Self-Built Quotation System for Your Whole Team: Windows Host Setup and NAS Backup

A metal manufacturing client used Claude to build a quotation and inquiry system but didn't know how to let colleagues use it together. We helped by setting up a Windows PC as the server, installing the required environment, remotely teaching the client how to package the system, and deploying it, all in about 2–3 hours. Four colleagues now use it every day, and data is backed up to a NAS daily.

Background: Built, but only usable by one person

More companies and individuals now generate software with AI tools, usually to cut development costs or to get a system that fits their workflow. This metal manufacturer did exactly that with Claude, building a quotation and inquiry system whose database was also written with AI assistance. They then hit three problems:

  • They didn't know how to install the software inside the company so several colleagues could use it at once.

  • The system needed a database to store data and keep everyone in sync.

  • They were worried about data security and data loss, but had no rack-mounted server and could only run the software on a standard PC.

Why "it runs" is not the same as "it's usable"

When the developer has no software engineering background, a system that runs on their own computer is not necessarily ready for real use. Without a reliable way to store data, information may sit only in temporary storage or the browser, where it is easily lost and cannot be shared across users. Because the software did not come from a vendor, there is no original supplier to support installation, setup or maintenance.

Scope of our service

The system and its database were both generated by the client through Claude. Our part was making it work in the company:

  1. Configured the Windows operating system. For software to run reliably, the OS has to be set up first. It is more than just installing the program.

  2. Installed the required runtime and packages, so the AI-generated software and database start and run smoothly.

  3. Taught packaging. The client didn't realize their system hadn't been packaged yet, so we walked them through packaging it remotely on the spot.

  4. Deployed the software, so other colleagues in the company can connect and use the same system and data at the same time.

  5. Set up data backup. We helped configure daily backups to a NAS, reducing the risk of data loss.

The software's features and code are outside our scope of service.

Results

  • Deployment time: about 2–3 hours

  • Users: 4 colleagues

  • Usage: every day, for day-to-day quotation and inquiry work

  • Backup: daily to a NAS

Why a single PC as the server

The client had no rack-mounted server, so we used existing equipment as a practical first step to get the system into use. Daily NAS backup strengthens data protection, and if the number of users or the business grows, moving to a more capable server can be evaluated later.

Tips for people running self-built systems

  • Know where your data is stored. Without a reliable database, data is easily lost.

  • Decide who will use the system and which machine it will run on.

  • Plan backups from the start, not after something goes wrong.

FAQ

Can a system built with AI be used inside a company?
Yes, provided the operating system and deployment are set up properly so several colleagues can use it reliably.

Do I need to buy a rack-mounted server?
Not necessarily. A properly configured Windows PC with NAS backup can be a starting point. In this case, one PC serves 4 colleagues. Whether to upgrade depends on the number of users and your needs.

Do you modify or develop the software?
In this case the client generated the software with AI. We helped with host setup, environment installation, packaging instruction, deployment and backup. If you need custom system development, feel free to contact us separately.
